Before You Begin

Normally, Zoom allows anyone who has your Zoom URL to join the meeting. This is great for ease of use but can allow unwanted guests to join if your Zoom meeting URL is shared via social media or elsewhere. First and foremost, it is important to stress the importance to your students or other participants of not sharing Zoom links publicly.

If you are concerned about unwanted participants joining your meeting and are hosting a meeting that only involves Notre Dame participants, you can turn on “Only authenticated users can join”. This setting requires all participants to first sign-in using their Notre Dame NetID before joining your meeting. Participants will only be allowed to join the Zoom meeting if they login using their Notre Dame NetID or Notre Dame email.  

Note:  This setting is enabled by default on all automatically generated Zoom meetings for classes.

Create a Zoom Meeting Restricted to Notre Dame Participants

  1. Schedule a new meeting. Note: You can also edit an existing meeting by clicking on the scheduled meeting within zoom.nd.edu and click Edit this meeting.

  2. In the Security area, check the box next to Only authenticated users can join.

  3. Make sure Notre Dame Only (Okta) is selected. If you select Sign in to Zoom participants will be required to login, but can login with any type of account which will not restrict to those at Notre Dame only. 


  4. Click Save.

  5. An audio watermark will by default be enabled.  The host has the option to enable a visual watermark to identify the viewing participant as an increased security measure. More information can be found at Zoom's Adding a Watermark and the Audio Watermark guide.

  6. Share the Zoom URL or Meeting ID with your students or other participants. The guide below can be used by students or other participants at Notre Dame in order to join once this setting is enabled.

Allowing Exceptions

If you have situations where individuals from outside of Notre Dame need to attend a meeting, Zoom now has the ability to indicate participants who can bypass the sign in requirements.  The participants who are indicated will receive an email with a special invite link.  This is the only link they can use to get into the meeting, the regular invite link will not work for them. 

       1.  Next to Authentication Exception, select the Add button.

       

        2.  Enter the full name and email of the external participant you would like to invite to the meeting, and select Save.  To add more than one individual, select Add Participant.

        

Join a Zoom Meeting Restricted to Notre Dame Participants

  1. The easiest way to join a Zoom meeting restricted to Notre Dame participants is to sign in to Zoom using Notre Dame NetID and password prior to joining the meeting.
    If you see the message “This meeting is for authorized attendees only. Click “Sign in to Join” to sign into Zoom with an email address authorized for joining this meeting.” when joining a Zoom meeting hosted by someone at Notre Dame, click Sign in to Join.


  2. A sign-in screen should appear. Click Sign in with SSO to login via Okta.


  3. Under your company domain, enter notredame and click Continue.


  4. Enter your Notre Dame NetID and password and click Sign in.

  5. You should now be allowed to join the Zoom meeting.
