For graduating students, your box.nd.edu account will be removed when your Notre Dame NetID becomes inactive, which is ~60 days after graduation. In order to maintain content that exists in box.nd.edu, you must either download the content yourself or follow the roll-out process documented below to retain access to this content before your Notre Dame NetID account becomes inactive.
There are 2 areas that you should be aware of with regard to Box content: (1) Change Folder Ownership; and (2) Roll out content to a personal Box.com account
Change folder ownership
For any folder that you own and have collaborators, if the content of that folder should remain with the University, you need to transfer ownership of that folder to someone else who remains at the University. See this link on how to transfer folder ownership. As an example: if you were a student worker and created a Box folder for use by people in the department where you worked, that content should stay with that department. Another example may be when a student worked in a lab or was a club member.
** Reminder: you will continue to have access to login to box.nd.edu using your Notre Dame NetID and password for ~60 days after graduation.
General Information on the Roll out Option
Graduating students may roll out their content to a personal Box.com account.
- Make sure you review the information above about which content should remain with Notre Dame
- The only content that is rolled out is where you are listed as the owner in Box.
- If you are not the owner, the content will not be rolled out to your personal box.com account.
- Note: co-owner access is not the same access level as an owner. If you are a co-owner, that content will not be rolled out.
Additional Information
- You must enter a non-"@nd.edu" email address when creating the alias account that will become your personal account username with Box.com. It is acceptable to use your alumni (@alumni.nd.edu) account
- All collaborations will remain as-is as the rollout process will take into account the new username you will create.
- By collaborations, this means that all collaborators to content where you are the owner will continue to have access to the content that is rolled out to your personal box.com account.
- Your NetID@nd.edu account will not have access to content rolled out to your personal box.com account.
- The account created at Box.com is free
- The quota for this personal Box.com account is 50GB (the usual account quota for a free Box.com account is 10GB). You get more free space by following this process than by creating a personal Box.com account and moving the content yourself.
- If you have more than 50GB in your current Box.nd.edu account, all content will move to the free Box.com account. However, before you can add new content to the free Box.com account, you need to remove content and get below 50GB or purchase more space from Box.com directly.
- All other features of this new Box account follow the Box.com free users model (i.e. you get all the features of a free account, PLUS 50GB quota)
How to Check Your Current Box Storage Amount
- Click your name in the upper right > Account Settings
- For the Account tab (default), scroll to the bottom
- For the Account Details section, see Storage Used
To Roll-out Content from Box.nd.edu to your Personal Box.com Account
Please be sure to read the "General information on Roll-out Option" above before following the steps below.
- Login to your account at box.nd.edu
- Click on your name and select Account Settings
- Under the default tab Account, scroll to the area Login and Email Addresses
- Click the Link Email button and enter an email address that you own. This will become the account username for your Box.com account
- A verification email will be sent to that email address. Be sure to verify the email address to complete the setup process
- That is all you need to do to complete this process
How to Access Your Content once it moves from Box.nd.edu to Box.com?
The content that you own will be moved to this new Box.com account when your Notre Dame NetID becomes inactive, which is ~60 days after graduation.
- When the personal Box.com account is created and the content is moved, several emails are sent to the email address you added (i.e. not your NetID@nd.edu account).
- One email will tell you to Reset Your Password. This is the email where you need to take action. Please click this option to Reset Your Password.
- You need to reset the password because when the account is created, a temporary password is set. The password set is NOT your Notre Dame password.
- To access your personal Box account, you will go to Box.com
Additional information on this process
- You MUST add this additional email address to your Notre Dame Box.nd.edu account while your Notre Dame NetID is still active. Once your NetID becomes inactive, the option to roll out content to a personal Box.com account is no longer valid
- If you do not opt to move content contained in your box.nd.edu account by the time your Notre Dame NetID@nd.edu account becomes inactive, you will lose access to this content.
- If you move more than 50GB to this new, personal Box.com account, this is what you can and cannot do with your content until you either get below 50GB or purchase a plan to allow additional quota
- You can Preview the content
- You can download content
- You cannot add content
- You cannot edit current content
