Question

What is a Canned Response/Template in Gmail and how do I create or use them?

Answer

A Template (previously called Canned Response) is an email that you frequently send and don't wish to retype each time. This is enabled via the advanced features in the Gmail web interface.

To activate the lab in Gmail:

  1. Click the gear icon in the upper right-hand corner of Gmail, then choose Settings.
  2. Click the Advanced tab, find Templates, click the Enable radio button to enable Templates
  3. Scroll down and click Save Changes.

To create and use a Template:

  1. Compose an email message you'd like to use over and over again, and then click the three dots in the lower right-hand corner of the message window.
  2. Choose Templates, then select Save draft as template. You can either overwrite an existing template, or create a new one.


  3. Give your response a name and click OK.
    1. Repeat steps 1-3 to create additional response choices.
  4. The next time someone emails you something that warrants the template you created, reply to the message and instead of typing your response, click the three dots in the lower right-hand corner, select Templates, and then under Insert, choose the template you created in the previous step. You'll then see your response appear in the body of your reply.
  5. You can modify or add additional information to your email message before you send it.
