Zoom meetings can be scheduled by any current faculty, staff, or student by doing any one of the following:

Scheduling through your Zoom account at zoom.nd.edu

Scheduling a meeting in Zoom will generate URL that can be shared with participants (colleagues, students etc.) After sharing the URL, the participant will click on the link and they will brought into the Zoom meeting. Participants may need to install Zoom if they have not used it before. If that's the case, they will prompted to install before joining the meeting. To schedule a Zoom meeting:

  1. Navigate to zoom.nd.edu and login to your account.

  2. On the left navigation, click Meetings.

  3. Click the Schedule a New Meeting button.




  4. Supply all necessary information:

    1. Provide the Topic (the name of the meeting).

    2. We generally recommend checking the Recurring meeting box and change the recurrence to No Fixed Time. You can reuse the room as many times as needed for as long as needed.

    3. The other options will depend on your needs. Typically, we recommend making sure Enable join before host is checked to allow participants to join before the host. More information on the individual settings can be found on Zoom's guide, How Do I Schedule Meetings?


  5. Click Save at the bottom of the screen and you have scheduled a Zoom meeting.

  6. After saving, there will be "Join URL" listed next to Invite Attendees. This URL can be shared with your participants in any way you choose (email, Sakai Announcement, etc.) and will be available whenever you need it.




Scheduling meetings through Google Calendar

You can also schedule new meetings using Google Calendar if you prefer:

  1. Navigate to Google Calendar and sign in if necessary.
  2. Create a new calendar entry by:
    1. Clicking the Create button near the upper left-hand corner, or
    2. Clicking the actual calendar day and time you desire.

  3. Provide a title for the meeting and supply the date/time and any guests within the new calendar entry.


  4. Click the Make it a Zoom Meeting button. If you do not see this button, you might need to install the Zoom Scheduler for Chrome or Firefox.




  5. After clicking the Make it Zoom Meeting button, a Zoom URL will show up in the location of the meeting. Simply invite participants to the meeting with a date and time and the Zoom meeting is ready.

 

 

Scheduling meetings through Zoom application

  1. Open Zoom on your computer.

  2. Sign into Zoom with your Notre Dame NetID.

  3. Click on Schedule a meeting.



  4. Set up the Zoom meeting time. Be sure to click on Google Calendar to have Google Calendar invitations sent to participants. These are automatically added to the participant’s Google Calendar. When finished, click the schedule button.




  5. You will receive the standard Google Calendar meeting schedule panel. Invite your participant(s) as you would to any meeting scheduled with Google.



  6. When your participants receive your invitation they can add it to their calendars as they would any other meeting.
