How to retain access to digital/online content when your NetID expires.
Answer
The information below will help you transfer your emails, documents, and other digital content from your student account to a personal account or your alumni account (where applicable).
NetIDs of students generally expire 60 days following finals week (see NetID Access Policy). You will generally receive email notifications starting 30 days before your account will expire. You must transfer your content before your account expires.

Activate your myNotreDame account through the Alumni Association and update your contact information to stay in touch with Notre Dame after graduation. myNotreDame is your Alumni one-stop-shop that provides access to the Alumni Directory, NDAA events and activities, and access to the Notre Dame Clubs and Groups from around the world.
Google Mail & Google Drive
Request an Alumni Gmail Account through the Alumni Association
The Notre Dame Alumni Association (NDAA) is pleased to offer alumni Gmail accounts for our graduates. If you would like a Notre Dame affiliated email address after graduation, request an account via the NDAA Help Desk Support Form. Accounts will be created in batches between April and July. You will be notified when your account is ready for you.
- Your new alumni email address will be <netid>@alumni.nd.edu
- Alumni Gmail includes Gmail and Calendar only. Google Drive, Google Photos, and other Google applications are NOT included with these accounts
- Please remember, your @nd.edu account will be disabled 60 days after graduation
- It is your responsibility to save your student content from that account prior to that time
- Your @nd.edu email address will not be automatically forwarded to your new alumni account
Transfer Collaborative Files to Shared Drives or a Box Group Account
Before your @nd.edu account is deactivated, secure continued access for your collaborators to files and folders you created at Notre Dame. Transfer any files or folders related to research, project work, or any other content you shared to Google Shared drives or a Box Group account.
Move Collaborative Google Files
Move collaborative content into a Google Shared drive or transfer ownership of the file/folder you own to another.

Saving your Google Content
You have 60 days after finals week to save your Google content before your @nd.edu account is disabled. It is your responsibility to complete the process if you wish to keep your email and/or files. The following are options for where and how you can save your Google data:

- Google Transfer Tool: Used for saving Drive- and Gmail-related files directly to another Google account. It is NOT available for Photos. It creates a COPY in the new account. The original files are not modified.
- Google Takeout Tool: Used for creating a local download of your files from Google. This is required for Google Photos and available for other Google applications as well.
- Partner Sharing: Used for copying Photos to a partner account. This is an alternative to using Takeout.
- Manual copy via Google Drive for Desktop: By installing Google Drive for Desktop, you can sync your files to your computer and then copy them from the Drive folder to your desired location — even another Google account. Note, you must have enough space on your computer to handle all files syncing.
Please note that you may only be able to process one Google Transfer at one time, and that Google advises that each transfer may take up to a week.
Migrate your Gmail to your new alumni.nd.edu Google account (Gmail Only)
- Once you receive your Alumni Gmail account, notify others of your new Notre Dame alumni email address by setting an autoresponder on your ND student email. Instructions here: KB0013025
- Transfer your Gmail to your alumni.nd.edu account
- Log in to your student account.
- Go to Google’s transfer content tool.
- IMPORTANT: Google Drive and Google Photos content will not transfer to your alumni account.
- Enter your alumni email address in the Enter an email address field.
- Click the blue Send Code button.
- In a Chrome Incognito window or on your phone, log in to your alumni Google account.
- Open the message entitled Verify your account and click the blue Get confirmation code button.
- Copy your unique confirmation code, then click Continue
- Enter your confirmation code, then click the blue Verify button.
- Toggle the Drive setting to off, then click Start Transfer.
- Set up manual forwarding by following the instructions in KB0013355. This ensures that any new emails addressed to your student account will not be lost once you have completed the transfer in step 3. Your Notre Dame email will not be auto-forwarded. When your ND NetID is disabled, all forwarding will cease.
The process to transfer content can take up to a week to complete. DO NOT WAIT until the day your NetID is set to expire to start the transfer. Please note that the only notification generated after starting the transfer process is an email to your student account once the transfer has been completed.
Note: The OIT Help Desk, the NDAA Help Desk, and Google will not be able to provide any support for the Takeout Tool and Transfer Tool. If the transfer does not work, please try again. If you still have problems, you will need to copy or download the desired information manually. One tip we can offer is to do some mailbox house cleaning before beginning the transfer. Messages with attachments MAY affect a successful and timely transfer of data. |
Migrate your Gmail and/or Google Drive content to a personal Google account
- Transfer existing email and/or Drive content to a personal Google account.
- Log in to your student account.
- Go to Google’s transfer content tool.
- Enter your personal Gmail address email address in the Enter an email address field.
- Click the blue Send Code button. Note: You must complete each step in the order they are presented on the "Transfer your content" screen shown below.
- In a Chrome Incognito window or on your phone, login to your personal Gmail account.
- Open the message entitled Verify your account and click the blue Get confirmation code button.
- Copy your unique confirmation code, then click Continue
- Enter your confirmation code, then click the blue Verify button.
- Click Start Transfer.
- Setup manual forwarding for the period of time between transfer completion and auto-forwarding taking effect (~60 days after finals week) by following the instructions in KB0013355. Doing so ensures that any new emails addressed to your personal account will not be lost once you have completed the transfer in step 3. Please note that new messages sent to your student email address will not auto-forward to your personal Gmail address. Auto-forwarding is setup to send to your alumni Google account only. This manual forwarding will cease when your ND NetID is disabled 60 days after graduation.

IMPORTANT: Google Photos is not attached to Drive storage, and photos stored there will not be transferred by the process described above. Use Google Takeout instead of the transfer tool.
Move your other Google content - including Photos - to a personal Gmail account or your alumni account*
You may want to move other information to a personal Gmail account or your new alumni email address* where applicable. Click on the service below for transfer instructions.
Gmail, Contacts, and Calendar are the only services enabled in alumni accounts. Other Google services, including Photos, are not. You will need to transfer the content from those additional services to a personal Gmail account, or download them to your local computer/external hard drive using Google Takeout. Your NetID/student email address may be connected to other services
If you used your student email address to register for websites/online services (e.g. your bank account, LinkedIn, Instagram, Twitter, Apple ID, PayPal), access those accounts before your student email address expires and update your account with your alumni email address or another personal email address.
Other services
Canvas
Every file that was uploaded into Canvas as a submission to an assignment was copied into your personal Canvas account. If desired, you can export all submissions as a ZIP file.

Adobe Creative Cloud
Since 2020, Adobe has provided a process to migrate your Adobe assets to your desired personal account. To access asset migration, visit graduation.adobe.com and follow the on-screen instructions.
If you wish to continue using Creative Cloud applications after graduation, Adobe offers a 40% discount for new graduates. Note: You must transfer your content to a free Adobe account first, then upgrade your account to the discounted Creative Cloud license.
Notre Dame Box files
Your Box.nd.edu account will be removed when your NetID is deactivated ~60 days after finals week. In order to save content that exists in Box.nd.edu, you must either download the content yourself or follow the new roll-out process before your NetID is deactivated. Instructions here: KB0010131
OneDrive
Microsoft has provided a process to migrate your OneDrive files to your OneDrive personal account. To access the migration tool, visit mover.io and follow the on-screen instructions.

Other cloud storage
If you stored anything in the cloud using your NetID or student email address, download or transfer ownership of those files before your NetID is deactivated. Depending on the vendor, you may lose access to your data with no option to recover it. This includes, but is not limited to Adobe Creative Cloud, Microsoft Office 365, Facebook, and Instagram.
Qualtrics
When your NetID is deactivated, you will lose access to your Qualtrics account. You can download (export) your surveys and responses for reference. If you have a Qualtrics account separate from your ND account, you may request that your data be transferred following these instructions.
Remove Notre Dame licensed software from your computer
While you're a student at Notre Dame, a variety of licensed software is made available to you for academic use only. After graduating, you will no longer be eligible to have these programs installed on your computer, and must remove them. You DO NOT need to uninstall any software which was pre-installed on your computer or that you purchased through the Hammes Hub.
Some of these Notre Dame licensed programs include:
- Mathematica
- MATLAB
- S-Plus
- SAS
- SPSS
- SYSTAT

1Password Account
Instructions and details for ensuring continued access to your 1Password data after graduation can be found at KB0025220.
Remove websites
If you created a personal website associated with your NetID and do not wish it to be visible after graduation, you should remove the content from the hosting service while you still have access to do so.
Note for 2017-2022 Graduates Only
If after graduation, you return to the university as a non-student (e.g. staff or faculty), your automatic email forwarding will end and will not be reinstated if/when you leave that role.
