Context: Faculty and Staff Retiring from the University - what IT services do you have access to
What access to services will I continue to have?
- You will retain access to your NetID@nd.edu account based on HR policies to which retirees maintain access to their NetID@nd.edu account. Please see this link from HR. You should verify with your manager and HR that you will retain access to your ND account
- You will need to use two-step login to access ND services
- You will continue to have access to your Google account, which means you will have access to your Gmail, Calendar, and Drive.

- You will have the ability to login to the VPN
Gmail
We recommend that you:
- Set up an automatic response on your email KB0013025
Optionally, we recommend that you discuss the below with your manager on whether these 3 items are appropriate for your situation
- Delegate access to your entire email account to someone else at Notre Dame KB0012493
- Your colleague(s) can access the delegated account by following these instructions KB0014788
- Share messages in specific email labels with others at Notre Dame Extension for Google Chrome
- Note - this extension is not supported by the OIT, but offered as an option
Google Calendar
We recommend that you:
- Cancel your recurring meetings or transfer them to someone else KB0013276
- Release rooms by uninviting the room in the guest list Google Support
Google Groups
We recommend that you:
- Change ownership for any Group that you currently own KB0024116
- Leave any Group that you no longer wish to receive email/calendar invites/Drive access KB0010804 or KB0024116
Google Drive
We recommend:
- For departmental content and/or content that should remain with your department/area after you retire from Notre Dame, move the content that you are the owner in My Drive to a Google Shared drive
Optionally, you can:
- Request a transfer of all files and folders in your account to someone else KB0013360; see the above bullet for the best option for content
- Download your personal files from Google Drive; see this Google support article
Microsoft Office
As a retiree, you will no longer be eligible for a locally installed version of Microsoft Office. However, you will be able to use your ND Netid to login to portal.office.com and use the cloud version of Office 365.
Adobe Creative Cloud
The university license to install Adobe software only covers active faculty and staff. Students and affiliates (including retirees) will need to purchase their own license or utilize the software installed in OIT Computer Labs. Note: You can install Adobe Reader for viewing PDF files by following the instructions here.
Box
Please note that retirees will lose access to their box.nd.edu account once they are officially designated a retiree by the university. To request access to Box once officially designated a retiree, please contact the OIT Help Desk and we can discuss the need to continue to access Box. Work content that should be owned by the university should be transferred to current department employees as noted below before you retire from the university. Requesting access to your box.nd.edu is not a guarantee that you will be granted access.
We recommend that you:
- Change the owner of your folders KB0010557
Optionally, you can:
- On a limited basis, request a transfer of folders in your account to someone else KB0013363
- We recommend you change the owner of your folders before you leave; much simpler process
- Download your personal files and store them in a personal Box or Google or other service
Qualtrics
We recommend that you:
- Transfer your surveys to a colleague: Knowledge Based Article
- Reason: you will lose access to your Qualtrics account
YouTube
We recommend that you:
- Change channel owners and managers Google Support
Zoom
You will continue to have access to Zoom. See KB0021099 for more details.
Google account
We recommend that you:
- Review accounts that you use with your Notre Dame Gmail: https://myaccount.google.com/permissions
What about my work computer(s)?
Retirees may have the option to purchase their CWP machine, following the standard guidelines. Please see this article for more information.
Remove Notre Dame-licensed software from your personal computer
If you follow the above information regarding your work computer, all software will be removed from your machine if you decide to purchase your work computer. As to what software you can install as a retiree, please see this KB article and reference the middle column - Faculty & Staff Personal Purchases.
While you're at Notre Dame, a variety of licensed software is made available to you for academic/employee use. Now that you are retiring from Notre Dame, you need to remove such software from your own computer. Since these programs are licensed only for use by members of the Notre Dame community, you will no longer be eligible to have these programs installed on your computer after you leave. You DO NOT need to uninstall any software which was pre-installed on your personally-owned computer or which you purchased through the Hammes Hub.
