Before You Begin

If you use the “record to the cloud” option with Zoom, all of your Zoom recordings are currently stored in Zoom’s cloud space. Starting July 6, 2020 all Zoom recordings will be moved to Panopto. Zoom recordings lack many of the advanced features of Panopto such as unlimited storage, analytics, folder management, copying/moving files, folders, editing, and integration with Sakai.

If you want to record your Zoom meeting but not have it imported into Panopto, you can record your Zoom meeting locally.

Note: Zoom and Panopto take time to process your videos in the cloud. Your videos will not be available via Panopto until both services have completed their processing. The time it takes each service to complete processing can vary based on how long your video is, the contents of the video, or how busy each service is.

After the recordings are imported, Panopto makes it easy to organize and share. Panopto also helps viewers quickly find content within a meeting through Smart Search and video thumbnails, as well as a transcript of the recording you can use to navigate.

 

Access Zoom Recordings in Panopto

Every time you use the “Record to the Cloud” in Zoom, the meeting will automatically be available in a private folder in Panopto. The recordings in Panopto can be found by:

  1. Navigate to panopto.nd.edu.
  2. On the left navigation, click My Folder.
  3. Click Meeting Recordings




  4. By default, all your Zoom recordings can be found here. You may not see the meeting recordings immediately. If you don’t see them, wait 15 minutes and try again. All recordings are private by default. You will need to adjust the permissions to allow others to view. In the Advanced Settings section below, you can also change where Zoom recordings are stored in Panopto.

Share Zoom Recordings in Panopto

Zoom recordings in Panopto are private by default. There are two basic ways you can share your Zoom recordings in Panopto. First, you can enable sharing a link with many people. Second, you can share with meeting participants or individuals. Note: When the Zoom recording is available in Panopto, you should receive an email from Panopto that your video is ready to view. Clicking Share will jump you to step 5 below.

Share a Zoom Meeting Recording from Panopto with Many People

  1. Navigate to panopto.nd.edu.
  2. On the left navigation, click My Folder.
  3. Click Meeting Recordings.



  4. Hover your mouse over the meeting recording you would like to share and click Share.



  5. Click on Specific People, you will see a list of options to change the permissions for this Zoom recording. Choose one of the options below to enable sharing of the recording:


      • Choosing Anyone at your organization with the link will allow anyone with a Notre Dame NetID and password to view the recording. They will need to sign-in to view.

      • Choosing Anyone with the link will allow anyone with the link to view the recording. This is similar to how Zoom recordings were shared.


  6. After changing the permissions, you can copy and paste the link and share.

 




Share a Zoom Meeting Recording from Panopto with Meeting Participants or Individuals

  1. Navigate to panopto.nd.edu.

  2. On the left navigation, click My Folder.

  3. Click Meeting Recordings.



  4. Hover your mouse over the meeting recording you would like to share and click Share.



  5. If you click Add Meeting Participants Panopto will automatically add everyone that was a participant in the meeting. People who were invited but did not attend the meeting will need to be added manually invited (see next step). Click Send and save changes to send all meeting participants an email.

  6. You can also add people individually under the Invite People section.

The Panopto Playback Experience

By default, Zoom records three separate videos during your meeting: the Active Speaker view, Gallery view, and Shared Screen. The Zoom to Panopto integration will take all three of the recorded layouts and arrange them as if they were recorded directly in Panopto.

This means there will be a default layout for viewers but they can switch the video layout to whatever they prefer. For example, they can switch between viewing the instructor in the main window or viewing the shared screen such as a PowerPoint or other presentation.



Advanced Settings for the Zoom to Panopto Integration

Change the Default Folder for Zoom Recordings

By default, Zoom cloud recordings will appear in Panopto in a folder called Meeting Recordings within your personal folder (My Folder). If you prefer, you can change the default folder for all future Zoom recordings.

Note: If you change the default folder, anyone with access to your new default folder will then have access to any new Zoom cloud recordings you make.

  1. Navigate to panopto.nd.edu.

  2. Log in with your Notre Dame NetID and password.

  3. Click on your name in the upper right corner.

  4. Click the User Settings.



  5. Scroll down to the Zoom Recording Import Settings section. Next to Default Folder, click Edit.




  6. Use the drop down menu to select a new location for your future Zoom recordings.

  7. Click Save.

Send Recordings for a Specific Zoom Meeting ID to a Panopto Folder

Once the Zoom to Panopto integration is configured, you can also select a destination folder for a specific Zoom meeting ID. This is especially helpful for making a regularly scheduled meeting or class available to viewers of a folder automatically.

To reduce the number of meetings you may need to set up this way, you can set up a regularly scheduled meeting or check Recurring Meeting and select No Fixed Time to retain a meeting ID that is available any time.

 

  1. Navigate to panopto.nd.edu.

  2. Log in with your Notre Dame NetID and password.

  3. Click on your name in the upper right corner.

  4. Click the User Settings.



  5. Scroll down to the Zoom Recording Import Settings section and under Create Folder Mappings for the meetings you own, click Add New.



  6. Enter the Zoom Meeting ID in the first box. Note: The Meeting ID can be found by logging into zoom.nd.edu, clicking on Meetings, and copying the Meeting ID.

  7. Select the new folder for this Zoom meeting.


  8. Click Save.




You should now have an entry in the list of “folder mappings” that can be deleted, if needed. You can also click the name of the folder you selected to visit that folder. All future meetings for this Meeting ID will appear in the folder you selected. All other recordings will appear in the default Meeting Recordings folder.

 

Change Permissions for All Zoom Meeting Recordings

If you plan on needing to share all of your Zoom Meeting Recordings in a similar way, you can change the default sharing permissions for the Meeting Recordings folder. In doing so, all Zoom Recordings will have this permission and it cannot be further restricted. For example, if you change the Meeting Recordings folder to "anyone with the link", all recordings within the folder would have the permission "anyone with the link" and you will not be able to make a single video more restrictive - such as sharing with specific people or limiting the recording to only be seen by people in the organization.

To change the folder permissions:

  1. Navigate to panopto.nd.edu.
  2. On the left navigation, click My Folder.
  3. Click the Meeting Recordings folder.
  4. Click the Share icon to the right of the Meeting Recordings folder.



  5. Change the permissions for the folder to your preference:


    • Specific people: Allows you to invite specific people to view all your meeting recordings

    • Anyone at your organize with the link: Allows you to send a link to the meeting recordings and only those with a Notre Dame NetID login can view.

    • Anyone with the link: Allows anyone you send the link to view the recording, no login  required.
